Information collected from forms and calls

The text-only form may collect contact details, an Abbotsford service location, stump and tree details, property access information, permits and approvals, utility notes, cleanup preferences, consent, submission time, IP address, and browser or device information processed by Netlify.

The estimate form does not accept file uploads. If a provider asks for photographs later, that provider is responsible for explaining how the photographs will be handled under the provider's privacy practices.

When a person calls the listed telephone number, the call and voicemail may be recorded and transcribed by CallRail. CallRail may also collect the caller number or caller identification, call time, duration, source or campaign details, the recording, voicemail, and automated transcripts.

Why the information is used

Information is used to review the request, communicate about follow-up, document and assess lead quality, review service quality, resolve disputes, prevent abuse, maintain request records, and—with consent—share the request with an independent local stump-grinding provider for estimate follow-up.

Service providers and processing outside Canada

Netlify provides hosting, form processing, storage, and submission notifications. CallRail provides the telephone number, call routing, recording, voicemail, and transcription. Email and other approved service providers may also process information. These providers may process or store information outside Canada, where foreign laws may permit government or lawful access.

Loading an embedded Google Maps view causes automatic network contact with Google. Google may receive an IP address and device or browser information needed to deliver the map.

Call recording and consent

A recording and transcription announcement plays at the beginning of each call. Continuing the call after that announcement indicates consent to recording, transcription, and the stated use and sharing of the information provided.

A person who does not want to make a recorded call may use the contact form instead. The form can be submitted without making a recorded call.

Independent provider sharing

A request is not automatically routed to a provider. The operator may share it with an approved independent local stump-grinding provider only for estimate follow-up and only after the requester gives the required consent. That provider may contact the requester using the information submitted and is responsible for information in its own custody.

Retention and deletion

Estimate requests, call recordings, voicemail, transcripts, and follow-up history are retained for 12 months after the last activity, unless an active dispute or legal requirement requires longer retention. Invoices, Stripe records, rental agreements, and required tax records may be retained for six years after the relevant tax year. Call content is not retained merely because a financial record must be kept.

Safeguards and choices

Access is limited to people and approved providers who need the information for the stated purposes. Reasonable safeguards are used, but internet transmission cannot be guaranteed completely secure. A person may contact the Privacy Officer to request access, correction, consent withdrawal, or deletion, or to raise a privacy complaint. The request may ask that information be corrected or deleted.
